Presides over meetings of the organization and executive board, serve as the primary organization contact, represent the organization at outside meetings, serve as an ex-officio member of all committees and coordinate the work of all the officers and committees so that the purpose of the organization is served.
Assists the president to carry out the president’s duties in his/her absence or inability to serve. The vice president may also assist with the duties of the secretary as needed. This position also serves as a shadowing position to the President with the intent to fill the President position the following year.
Receives all funds of the organization, keeps an accurate record of receipts and expenditures, and pays out funds in accordance with the approval of the executive board. He/she will present a financial statement at every meeting, and make a full report at the end of the year.
The secretary shall keep all records of the organization, take and record minutes, prepare the agenda, handle correspondence, and send notices of meetings to the membership. The secretary also keeps a copy of the minute book, bylaws, rules, membership list, and any other necessary supplies, and brings them to meetings.
Maintains a master list of all parent volunteers, including contact information and event interests. He/she will assist Event Chairs in finding volunteers through these lists and/or a Sign-Up Genius requesting help with an event. Scheduling and coordination of a volunteer’s time is then handled by the Event Chair or other committee member.
Supports school with PTO communication to our school community. Sends communication that needs to be included in the schools weekly blast to school each week. Posts and monitors all social media activity and updates for Heritage PTO & community.
Maintains school directory on annual basis and is in charge of annual PTO membership drive.
Initiates all fundraising opportunities, creates fundraising opportunities, and communicates those to the committee members and PTO members.
Coordinates and facilitates the Fund Run with a committee of volunteers.
Coordinates and facilitates the annual auction with a committee of volunteers.
Organizes restaurant nights and other community fundraisers.
Organizes and communicates collection for these fundraisers.
Coordinates events to show our appreciation for all teachers and staff at Heritage Elementary.
Organizes and leads these annual events supporting the male and female role models in their lives.
Organizes and leads this annual event with a committee of volunteers.
Plans and runs the annual Mother Son event each fall.
This position requires a passion for new families and their introduction to our Heritage community. Creating communication that informs parents of our youngest Explorers, the goings on, and how they best can participate in all that is offered is the main goal of this liaison.
Leads sales and purchases products for events year round.
This position is filled by a current teacher at Heritage. Elementary and represents teachers and staff by communicating PTO’s agenda and any questions the members may have for the teaching staff.
Requires attendance at all SAC (School Accountability Meetings) and reports back to the PTO the status and ongoings at those meetings.
